Download settings for Google Meet recordings changing: What administrators must check by April 30

What is changing?

Starting April 30, 2026, Google will change the default setting for downloading and copying Google Meet recordings.

Under current specifications, viewers cannot download or copy a recording unless the recording owner explicitly permits downloading. Following the change, however, this behavior will be reversed.

In other words, if you take no action, all new recordings will become downloadable by viewers. Because organizations already making active use of basic Google Workspace features tend to have broader sharing scopes for recordings and are more susceptible to impact, prompt verification is essential.


Affected editions and users

This change applies to the following Google Workspace editions:

  • Business(Business Starter / Standard / Plus)
  • Enterprise(Enterprise Standard / Plus)
  • Education(Education Standard / Plus)

Personal Google Accounts (free tier) are exempt from this change.

Additionally, existing recordings are not affected. The new default setting will only apply to new recordings created after the change.


Actions administrators should take

If you want to restrict downloads across the entire organization

Prior to April 30, please change the following settings in the Google Admin Console:

  1. Log in to the Google Admin Console
  2. Go to AppsGoogle WorkspaceGoogle Meet
  3. Open the Meet video settings section
  4. Uncheck (turn off) "Let users download and copy Meet recordings"
  5. Click Save

This setting can be applied across the entire domain, or by organizational unit (OU) or group. It is also possible to configure different policies for each department. When handling individual recordings separately

From April 30 onward, recording owners can restrict downloading and copying on an individual basis. However, because this requires manual configuration each time, we recommend organization-wide restrictions for organizations with frequent confidential meetings.


Points of caution: Impact on Gemini features

For recordings where downloading is enabled, there is a restriction where anyone other than the file owner cannot use the "Ask Gemini" feature in Google Drive.

This is based on Google Drive's security policy, established as an access restriction for AI features on downloadable files. Organizations prioritizing AI utilization should factor this point into their configuration decisions.

Both release tracks will roll out at the same timing.


Why Google is changing the default

Google states that it is making this change to improve the convenience of recordings. Currently, even when recordings are shared, recipients cannot download them, creating inconveniences such as being unable to review them offline or utilize them in other tools.

On the other hand, from the perspective of information governance and security, many organizations will likely perceive risks in making downloads enabled by default. Caution is especially necessary in situations such as:

  • Highly confidential meetings involving HR or legal affairs
  • Meetings handling customer information
  • Recordings of meetings with external partners attending

Summary: Checklist through April 30

This change is an update where "settings change if you do nothing." Administrators should verify the following by the deadline:

  • Review your organization's recording download policy
  • If restrictions are required, turn off the setting in the Admin Console
  • Consider whether different policies are needed by department or group
  • Understand the impact on Gemini features and align with usage policies
  • Announce the configuration changes internally

The deadline is April 30, 2026. We recommend taking action early.


Frequently asked questions (FAQ)

Q. Will existing recordings also become downloadable?

No. This change applies only to new recordings created on or after April 30. Settings for files recorded prior to that will remain unchanged.

Q. Does this also apply to free Google Workspace (personal accounts)?

They are exempt. This change applies exclusively to Business, Enterprise, and Education editions.

Q. Does this affect meeting chats in Google Chat as well?

Changes to recording download settings are limited to Google Meet recording files (stored in Google Drive). The meeting chats themselves managed in the Google Chat meetings section are unaffected. However, downloads from recording links shared within a meeting chat will follow the new default setting.

Q. What happens if an administrator forgets to change the setting in the Admin Console?

All new recordings created on or after April 30 will become downloadable and copyable by viewers. If you change the setting in the Admin Console as soon as you realize, the restriction will apply to subsequent new recordings. However, for recordings created before changing the setting, owners will need to restrict them individually.
