Gmail Business Tips: Master Your Inbox with Labels, Filters, and Templates

"I missed an important email." "I'm so overwhelmed answering emails that I can't focus on core work." Are you struggling with this kind of email fatigue?

According to the "Business Email Survey 2025" by the Japan Business Mail Association, business professionals receive an average of 52 emails per day and spend approximately 2 hours and 26 minutes sending and receiving them. That equates to nearly 30% of working hours spent dealing with emails.

If you could cut this time in half, you could devote it to higher-value work like strategic planning, client relations, and product improvement. The key lies in three built-in Gmail features: labels, filters, and templates.

In this article, we explain practical ways to combine these features, tailored for executives and staff at small businesses using Google Workspace.

Why organizing your inbox directly drives operational efficiency

The root cause of email management struggles is that the inbox is structured to mix all types of emails in the same place.

  • Urgent requests from business partners
  • E-newsletters and bulletins
  • Notification emails from chat tools
  • Internal communications and shared meeting minutes

When these appear indiscriminately in the same inbox, evaluating priority incurs a cognitive cost every single time. The cumulative time spent searching "where did that email go?" adds up to a significant daily loss.

Using Gmail's label and filter features, incoming emails are automatically sorted the moment they arrive, building an environment where you can focus solely on what needs priority.

Structuring your inbox with labels

Gmail labels serve as the equivalent of folders, but they offer greater flexibility because you can assign multiple labels to a single email. You can also color-code labels to identify priority visually.

Basic rules for label design

Having too many labels leads to management breakdown. We recommend starting with the following 3 to 5 categories and adding more as your work demands.

Label nameTarget email examplesPriority
Requires manual managementEmails requiring replies, confirmation, or approvalHigh
In ProgressActive project-related itemsMedium
Information SharingMeeting minutes, reports, shared materialsLow
Client NameCommunications by clientOptional
NewslettersEmail newsletters and mailingsLater

Steps to create labels

  1. Click "Create new label" in the Gmail left sidebar
  2. Enter the label name and set a parent label if needed
  3. Set the label color from the "︙" menu next to the label

In Google Workspace business plans, standardizing label naming conventions across the organization aligns team email management standards, ensuring smooth handovers when personnel change.

Setting up automated sorting with filters

Simply creating labels only adds the chore of manually tagging them. By pairing them with filters, you complete an automated system for sorting incoming mail.

Basic filter setup steps

  1. Click the "Show search options" icon (▼) on the right side of the Gmail search bar
  2. Enter sorting criteria (sender, subject keywords, recipient domain, etc.)
  3. Click "Create filter"
  4. Select actions to execute (apply label, archive, star, etc.)
  5. Check "Also apply filter to matching conversations" and finish

Practical filter configuration examples

Example 1: Automatically classify client domains

  • Condition: From: @client-company.co.jp
  • Action: Apply "Client A" label; keep in inbox

Example 2: Batch and organize newsletters

  • Condition: Subject: 配信停止 OR Subject: unsubscribe OR List-Unsubscribe
  • Action: Apply "Newsletters" label; skip inbox (archive)

Example 3: Route CC-only emails to lower priority

  • Condition: To: -自分のメールアドレス (emails not addressed directly to you)
  • Action: Apply "Information Sharing" label; skip inbox

Key search operators usable in filters

OperatorMeaningUsage example

to:Filter by recipientto:sales@example.com
subject:Subject keywordssubject:請求書
has:attachmentHas attachmenthas:attachment
-Exclusion criteria-from:noreply@

By combining these, you can automatically categorize virtually all business emails. Filters can be reviewed, edited, or deleted under "Settings → Filters and Blocked Addresses."

Drastically cut reply time with templates

Much of the time spent composing emails is repetitive work writing similar drafts from scratch every time. With Gmail's templates feature, you can save up to 50 boilerplate messages and pull them up in a few clicks right from the compose window.

Steps to enable the templates feature

  1. Click the gear icon in the top right → "See all settings"
  2. Open the "Advanced" tab
  3. Select "Enable" next to "Templates"
  4. Click "Save Changes" at the bottom of the page

Steps to create and save templates

  1. Open a new compose window and enter the subject and body you want to save
  2. Click "︙ (More options)" in the bottom right of the compose window
  3. Go to "Templates" → "Save draft as template" → "Save as new template"
  4. Enter the template name and save

Steps to use templates

  1. Open a reply or new compose window
  2. Select a saved template via "︙" → "Templates"
  3. Adjust specific details (company name, recipient name, date, etc.) as needed and send

Advanced automation combining filters and templates

Taking it a step further, combining filters with canned replies allows you to send automatic replies to emails from specific senders. This is effective for freelancers and small teams looking to improve response times for incoming inquiries.

Clarifying "what to do today" with Priority Inbox and stars

In addition to labels, filters, and templates, using Priority Inbox and stars streamlines your inbox even further.

Setting up Priority Inbox

In the top right of the Gmail inbox, select "︙" → "Inbox type" → "Priority Inbox", and important emails will automatically appear at the top. Gmail's machine learning determines importance based on your reading and replying patterns.

Using stars as flags for "things to handle today"

Stars are more than simple markers; they can also be used as filter criteria. By reviewing emails in the morning and starring items requiring action today, you can check them all at any time from "Starred" in the left sidebar.

Recommended routine (30 minutes of email processing per day)

  1. 15 min in morning: Check Priority Inbox, reply to anything you can answer immediately, and star the rest
  2. 10 min at midday: Process starred emails
  3. 5 min in evening: Review remaining starred emails and decide whether to defer to tomorrow or complete now

Improving overall team email efficiency with Google Workspace

Beyond individual productivity, using Google Workspace administrator features elevates email management standards across the entire team.

  • Shared labels: Maintain a unified label structure across the organization
  • Delegated access: Allow other team members to handle emails when an assignee is away
  • Group email (Google Groups): Manage a shared inbox across multiple team members using addresses like info@ or support@
  • Vault (archiving): Retain and search emails for legal and compliance purposes

Google Workspace onboarding and configuration methods are explained in detail in the following article.

Summary: Free yourself from "email fatigue" by combining three features

Gmail labels, filters, and templates are effective on their own, but combining all three produces a synergistic effect.
